Rental Rules
Reservations
Minimum Stay requirement: Two (2) nights. We do not allow same night bookings, or single night bookings. We refer guests to local motels in Willcox.
Booking: Your reservation is secured by credit card. Upon booking, 20% is charged with the balance charged 7 days prior to your arrival. Any additions to the reservation, will charged on date of departure. There is a $25 nonrefundable reservation fee. On date of arrival, a $300 damage deposit will be charged and released upon approval by the owner approximately 48 hours after departure.
Rates are subject to Arizona Transaction Privilege Tax of 0.061% and as follows: (See accommodations/amenities below for additional information.)
- Pioneer Guest House rate is $321/night for a maximum party of 4 adults. This allows exclusive private access to all guest rooms, living, dining and garden areas for your party.
- Kirby Suite is $189/night for a maximum of 2 adults and 1 child. This includes a private Queen bedroom and bathroom, with shared common guest areas. A twin bed can be added for guests who do not wish to share the Queen bed or 1 child under the age 17. The rate for the additional bed is $10/night for a child up to age 9, or $ 30/night for children 10+.
- Duncan Suite is $189/night for a maximum of 2 adults. This includes a private Queen bedroom and bathroom, with shared common guest areas.
Cancellation: For a 100% refund, we require a fourteen (14) day prior notice of your arrival date. If you cancel less than required notice stated above, no refunds or credits will be issued for any days booked, or after check-in or for no-shows. The $25 reservation booking fee, plus tax is nonrefundable.
Cancellations due to Health & Safety reasons: Should you or a member of your booking party be exposed, required to quarantine or ill, please call to reschedule your visit. If only 1 member is affected, we will ask that you continue with your reservation. Otherwise, the cancellation period will be enforced and fully charged for your reservation. Otherwise, we will charge your credit card, issue a credit for a one-time 3-month period for you to reschedule. At time of reschedule you will be charged $25 nonrefundable booking fee. We are a small business and a cancellation on short notice represents 50% of our income, that we most likely cannot rebook.
Check-in & Check-out
Our check-in time is 3:00 p.m. However, if you will arrive later than 5:00 p.m., please call so that we will know what time to expect you. If you arrive in the area before check-in time, ask us about things to do in our area. These were included in your confirmation email, too.
Check-out time is by 10:00 a.m. Please be sure to take all your belongings with you. Due to small size of the property, we are not able to hold your luggage before check-in or after check-out. Additionally, our cleaning and sanitation procedures require us to air the room out prior to the next guest.
Accommodations
Guest House: The Pioneer Guest House includes two guest suites (Kirby and Duncan), Community Living Room and Arizona Room, totaling 1,056 SF. The Guest Suites and Community Living Room have controlled heat and air-conditioning split units. The Arizona Room has an electric fireplace heater as it’s only source of heat in the winter. The windows and fans provide cooling in the summer.
- Guest Suites (Kirby and Duncan) each have exterior locking entrances and consist of a private bedroom with Queen bed, sitting area and bathroom with a shower to accommodate two adults. Each guest suite has an interior locking entrance into the Community living room. The Kirby Room will accommodate two adults and a child by adding a twin bed. (See rates above.)
- The Community living room is comfortably furnished 4 recliners, reading lamps, a large library table with chairs, TV, electric fireplace, DVD and CD players, and an extensive DVD and reference library. Feel free to watch a movie or read a book during your stay. We ask that you set the DVD or book in the basket, so we may sanitize for the next guest.
- The Arizona Room has windows on 3 sides that allow viewing the mountains and wildlife. It is furnished with 2 small tables with 4 chairs, and a seating area with coffee table for 4 people. Be sure to enjoy the 2 museum cabinets featuring artifacts from the early pioneers.
- Guest Grounds includes a circular driveway to allow guests to unload at the suite entrances, then park in one of the 2 parking spaces across from the Pioneer House. Outside the Arizona Room is almost 12,000 SF fenced native garden area. The garden includes 4 seating areas to relax while enjoying the scenic mountains and night skies or a walk in the meditation labyrinth. A covered paved patio with a table and 2 chairs is located next to the Kirby Suite for some private time.
La Casita: Originally built as the Adobe Bunk House in 1873 for the ranch hands has been remodeled inside to accommodate the guest kitchenette, now known as the Breakfast Room. It is furnished with a dining table for 4, small refrigerator, large microwave, Keurig coffee maker, hot pot, sink, microwavable dishware, and paper/plastic dishware. The second room is the Star Light Dining room used for guest optional dinner reservations. It has heat/air-conditioning split units in both rooms. It is a good place to get away during the day between meals.
Dining and Food Preparation
Breakfast: We serve a complimentary continental breakfast between 8:00 and 9:00 in La Casita. With a 72-hour notice prior to arrival, guests may reserve a full cooked breakfast for an additional cost of $40/couple and $15 each additional person ages 10+. Please identify any food restrictions at the time of the reservation. Specialty diets may require an additional surcharge for all meals and will be discussed at the time of the reservation.
Lunch/Snacks and Alternate beverages: In Willcox snacks, lunch supplies and beverages can be purchased at Safeway (I-10, exit 340) or Circle K (I-10 exit 336) and Mustang Mall on So. Hwy 191. Mustang Mall has a good selection of Willcox Wine and other local products for sale. General Store on Fort Grant Road has some Coronado Vineyards wine. Dinner: We encourage you to partake of local businesses in Willcox. There are several restaurants in nearby Willcox about a 15-minute drive. We will be happy to provide recommendations. However, since we are remote, we do offer tasty & nutritious dinners for an additional charge. We require reservations 72-hours in advance of check-in date. Specialty diets require a 4-day notice prior to date of check in and may be subject to an additional charge to obtain necessary ingredients. We reserve the right to refuse reservations without cause. Optional dinners may only be reserved for non-consecutive nights.
No-Cooking, Cooking Appliances, Combustibles, or Fireworks: The safety of our guests, staff, and this facility is extremely important to us. Cooking on the premises is prohibited. Except for the microwave and refrigerator unit that we provide, preparation of food in the facility by any type of cooking appliances is prohibited. A minimum fee of $300.00 will be charged from your deposit for cooking, including, but not limited to coffee makers, hot plates, toaster ovens, water heaters, rice cookers, combustible, open flame, barbecue grill, burners, heating appliance, or any other item intended for cooking. Open fires, flames, or cooking grills, either charcoal or gas, and fireworks are not allowed anywhere on the property. A microwave is available 24 hours for all registered guests to use in our Casita. Coffee/tea are also available upon request. Failure to comply with this policy may result in the forfeiture of your $300 deposit at a minimum and/or eviction.
The microwave is available for warming of prepared food, not cooking. We ask that you not warm pungent food, as the odor is difficult to remove from fabric, a cleaning fee shall be assessed from your deposit. Dishware and paper plates and plastic cutlery are provided for guest use.
Dish Washing: Please do not wash or rinse dirty dishes or food in any of the guest facility sinks. We encourage you to please place dirty dishes in the bus tub, for staff to wash. We only charge a $10 dish washing fee/meal for guests, which is charged at the time of check out. If you bring food with you, please remember to take it with you at check-out, otherwise you will be subject to a $25 disposal fee.
Guest Services
Housekeeping: Staff is onsite daily to replenish guest supplies, bus and wash dishes, empty trash in the common areas and other guest housekeeping services as needed. Unless requested, towels will be replaced every three days and sheets upon check-out. We ask that guests daily by 10am, please place any dirty dishes, trays, and trash outside the room entrance door. We will return clean dishes, replacement towels, and other requested amenity refills for you to pick up in the Casita by noon. For sanitary reasons, please keep all trash within the trash plastic liner or the basket. During your stay, we respect your privacy and do not enter the guest suites unless it is an emergency or to make repairs.
Cleaning and Sanitizing: Our Retreat has been awarded the Arizona Clean & Safe Certification by the Arizona Lodging and Hospitality Association. Further we have been given 5-Star reviews by health officials, who stayed with us during the pandemic. A list of the 45 cleaning steps and certification is displayed in the Arizona Room of the Pioneer Guest House. Our facilities, both hard and soft surfaces, such as linens, draperies, rugs, flooring, and ventilation systems are cleaned after every guest use. We have sanitation stations in the Arizona Room and the Casita for guest use. We continue to monitor the CDC recommendations for both the Covid-19 and flu viruses to help safeguard the health and safety for all guests and staff.
Guest Supplies/Amenities: For our guest convenience, each guestroom has reverse osmosis drinking water and natural soap products. A Keurig beverage maker and a variety of tea, coffee and hot chocolate beverages are available in the guest suites and the Casita and upon request. Binoculars and walking sticks are available for guest use upon request. A first aid kit is located on the bookshelf in the Community Room. Please ask us if you need toothbrush or other toiletries. Additionally, a spare blanket or wrap are available in either the guest suite, or Community Room. If you use it during your stay, please leave them out, so that they may be washed and sanitized after your use. The same goes for CDs, DVDs, or books. A hair dryer is available in chest of drawers in each suite.
Cable TV/Internet/Wi-Fi: As a retreat, we offer you a quiet departure from everyday connectivity. This is a place to escape. Due to the 12–15-inch thickness of our Adobe walls, Wi-Fi and Internet reception is limited. However, upon request, we do offer a Wi-Fi Hot Spot based upon connectivity from the Pioneer House Community living room from 8am – 9pm. Since we are rural, the area offers only limited cell phone service at the Retreat, but you will have connectivity within a few miles of the property.
Dog Friendly: As pet owners, we will accept service animals and dogs on a case-by-case basis. A pet fee of $20/pet/night is charged. Maximum weight of any pet will not exceed 25 pounds and only one pet is allowed. Pets must be crate trained and quiet when confined. Owners will always supervise pet. Pets must be on leash on the property. Owners are required to clean up after pet. Failure to comply will result in forfeiture of your deposit. Owners will be assessed a fee for damages caused by pets. Ask for a copy of our Pet Regulations.
Handicapped Accessibility: We are very sorry, but due to the historic nature and size of our buildings, we are limited in our ability to accommodate handicap facilities. Let us discuss your needs and how we can try to accommodate.
Lost and Found Items
Should a guest find something that may have been left behind by a former guest, please report it to the staff. During housekeeping after a guest stay, we will attempt to notify the guest within 24 hours by email and/or telephone of any items found. At guest’s request, we will return item by certified signature required mail for the cost of $25 plus shipping costs. We will invoice and/or charge costs prior to shipping. If the guest does not respond to our attempts: Valuable items (For example money, gold, jewelry, cell phones) will be kept for 1 month, then turned over to the Cochise County Sheriff. Other items such as clothing will be stored for 1 month before donation to a Willcox thrift store. Please note that used items such as food and personal care products will be disposed of immediately.
Miscellaneous and Damages
Violation of the following policies may be subject to guest eviction and/or forfeiture of deposit and additional charges for damages and/or replacement.
Property is 100% SMOKE FREE. For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, carpet, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cooking, cigars, candle burning, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products in our facility. Guests are encouraged to notify Staff immediately if they smell cigarette, marijuana, or other objectionable odors. This policy is not intended to stop people from smoking, but to regulate how it affects others. Marijuana is always prohibited. You will forfeit your deposit of $300 as a minimum to remove odor from carpets, bedding, and walls.
Candle, Incense, Essential Oils: Candle, incense, essential oils (diffusing, vaporizing, etc.) are prohibited. These items and activities will be treated as smoking, a fine accessed, and the guest may be evicted with no refunds. You will forfeit your deposit of $300 as a minimum to remove odor from carpets, bedding, and walls.
No guns are allowed on property or in guest facilities. Please always secure them in your vehicle during your stay.
Damage to Mattresses, Bedding and Linens: Damage to mattresses and linen including towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, or of any type. You will forfeit your deposit of $300 as a minimum for the special cleaning, repair, or replacement of the damaged article.
Theft of Found Objects or Retreat and/or Other Guest Property: We ask our guests to adopt the policies of “Leave it where you find it,” and “If you pack it in, pack it out.” Whether it’s art, linens, supplies, artifacts, gems, minerals, or rocks found or on our property or in the guest facilities. If you find something of value that may have been left behind by another guest, please bring it to the attention of staff. You will forfeit your deposit of $300 as a minimum or may be subject to criminal report.
Guest Visitors: Only registered guests are allowed on the property for the duration of their reservation due to liability and damage issues. This ensures privacy and safety of all guests, especially since guests share common areas. We can offer suggestions for public areas where you may be able to meet with outside friends.
